General school settings

In the Administration module, the Settings screen holds the school's global configuration. Some settings apply immediately to the whole account and others serve as the default value for future timetables.

Main settings

The screen lets you set, among other things:

  • school name;
  • time zone;
  • current school year;
  • class levels with Create;
  • opening hours for accounts that use Staffing;
  • how teacher availability is entered;
  • student visibility restriction;
  • teacher visibility restriction;
  • login restriction by role;
  • middle name handling;
  • name capitalization rule;
  • login syntax;
  • first day of the week;
  • enabling or disabling the common subject catalogue;
  • display of external identifiers, on an account synchronized with other software;
  • school logo.

Snapshot quotas and the log retention depth are not ordinary settings of this screen. They are enabled or adjusted by Omniscol according to the institution's contract.

Levels

Levels are used to sort classes by educational progression: Grade 9, Grade 10, Bachelor, Master, Year 1, Year 2, etc.

They are part of the account's general settings. You can create, delete and reorder them from this screen. They are then used in classes, in some filters and in several diagnostic views.

Visibility and login settings

The settings Restrictions on students consulting timetables, Restrictions on teachers consulting timetables and Application login restriction are documented in Visibility restrictions.

Timetable settings

This section sets how all the account's timetables are worked on. It reads as a single table split into blocks, saved with the button placed below it. Each row carries an information icon: hover over it and it explains the setting; click it and it opens the matching help page. Settings tied to a premium feature appear only on a premium account.

The Timetable management block contains:

  • Type of timetable: the types offered when a timetable is created. When only one type remains, the create button directly creates a timetable of that type;
  • the format of the alternate weeks (1, 2, ..., A, B, ..., or disabled);
  • Lesson statuses: the statuses offered when editing lessons. Disabling a status does not change the lessons that already use it.

The Default configuration block gives the starting values of a timetable created afterwards: time slot duration, time slot division and display mode. An existing timetable keeps its own.

The Display options block sets how subjects are designated (name, short name or code) and how groups are (name or code) on administrators' screens; teachers, students and the other roles always see the name.

The following blocks follow the order of the interface (Sites, Teachers, Classes, Courses, Groups) and indicate what the institution uses: resources, dedicated classroom and teachers' videoconference link, time constraints, dedicated classroom, off-grid, recurring lessons and class links, mandatory course type, pedagogical weight and hours allocation policy, groups of groups, alignments, subgroups and groups' time constraints. Off-grid and recurring lessons concern only calendar timetables.

A disabled option removes its control from the screens wherever nothing is filled in. Where something already is, the control stays displayed, read-only: nothing that was entered is lost.

The Lessons block holds Videoconference link priority order: the order in which a lesson takes its videoconference link, between that of its class and that of its teachers. Cards are reordered by dragging them, or with the keyboard arrows. A link set directly on the lesson always comes first; see Videoconference links per course.

Common subjects

The common subjects setting controls access to the country's official subject catalogue.

Display external identifiers

On an account synchronized with other software (ERP, student information system…), teachers, subjects, classes, groups, sites, classrooms, resources and lessons keep the identifier that software gives them. This setting shows them to administrators; the other roles never see them.

  • When the name is hovered, a icon appears after it. Hovered, it lists the identifiers, one software per line. Clicked, it copies the identifier to the clipboard, or the list of the software and their identifiers when there are several.
  • The edit windows of teachers, subjects and classes recall them at the bottom, in grey, ready to select.
  • The diagnostic writes them under the name, with the same icon to copy them; the bubble of a lesson in the timetable shows them too.

This setting sits in Advanced settings and only appears on an account that synchronizes its data.

The uploaded logo is stored in the account and used by the interface when the context calls for it, notably on the login screens and in the application.
